1. General

ⅰ) HOTWIDE places great importance on protecting your personal information and complies with the personal information provisions of the Act on Promotion of Information and Communications Network Utilisation and with the Personal Information Protection Guidelines. Through this Policy we explain how the personal information you provide is used and what measures are taken to protect it.

ⅱ) HOTWIDE publishes this Policy on its website so that you can review it at any time.

ⅲ) HOTWIDE maintains a procedure for revising this Policy so that it continues to improve. Where the Policy is revised, the revision date is recorded so that the change is readily apparent.

2. Consent to Collection

HOTWIDE provides a means for you to click either "I agree" or "I do not agree" in relation to this Policy and the Terms of Use. Clicking "I agree" is treated as consent to the collection of personal information.

3. Items Collected and Method of Collection

(1) Items collected

ⅰ) For filing-related work, customer consultation and provision of services, HOTWIDE collects the following when an application form or posting board is used.

— Required: user ID, password, name in Korean (or company name), name in English (or company name), postal address, legal address, telephone number, email, name of representative director, corporate registration number, business registration number, contact person's name, and, where the user is under 14, information about the legal representative.

— Optional: occupation, mobile number, fax number, contact person's department, and whether SMS is to be received.

ⅱ) The following may be generated and collected automatically in the course of using the service or processing a matter: IP address, cookies, date and time of visit, service usage records, and records of improper use.

ⅲ) The following payment information may be collected in the course of using a paid service: for card payments, the card issuer and card number.

(2) Method of collection

ⅰ) HOTWIDE collects personal information through the website, written forms, fax, telephone, the consultation board, email and event entries.

4. Purpose of Collection and Use

ⅰ) HOTWIDE collects personal information for the following purposes: formation of a contract for the provision of services (including identity verification and confirmation of intent); performance of the services (provision of services and settlement of payment); and notification of new services, products and events.

ⅱ) HOTWIDE does not collect sensitive personal information that risks infringing fundamental human rights — such as race or ethnicity, ideology or creed, place of origin or registered domicile, political affiliation or criminal record, health status or sexual life.

5. Collection through Cookies

HOTWIDE uses cookies, which store and periodically retrieve information about you. A cookie is a small piece of information that a website sends to your browser.

When you access the website, HOTWIDE's server reads the contents of the cookie in your browser and finds additional information on your computer, so that the service can be provided without your having to enter your name and other details again.

A cookie identifies your computer but does not identify you personally. You also have a choice about cookies.

By adjusting the options in your browser you may accept all cookies, be notified when a cookie is set, or refuse all cookies.

6. Use Beyond Purpose and Provision to Third Parties

ⅰ) HOTWIDE uses your personal information within the scope notified under "Purpose of Collection and Use", and does not use it beyond that scope or provide it to another person, company or institution.

ⅱ) Where a service has been notified in advance as being delivered through a partner, HOTWIDE and that partner bear the same obligations in respect of personal information.

ⅲ) HOTWIDE may, however, provide your personal information to, or share it with, another partner in order to deliver a better service.

Where personal information is provided or shared, HOTWIDE notifies you individually by email and in writing, in advance, of who the partner is, which items are provided or shared, why they are provided or shared, and how long and in what manner they will be protected and managed, and obtains your consent.

7. Access and Correction

ⅰ) You may access or correct your registered personal information at any time.

To do so, enter your password and click through to your own posting to view or correct it directly, or contact the Privacy Officer by email and we will act on it.

ⅱ) Where you have requested correction of an error, the personal information concerned is not used until the correction is complete.

8. Withdrawal of Consent

ⅰ) You may withdraw your consent to the collection, use and provision of personal information at any time. As this website does not require separate membership registration, withdrawal is effected by clicking through to your own posting or application form and deleting it, or by contacting the Privacy Officer by email.

ⅱ) HOTWIDE takes the measures necessary so that withdrawal of consent to collection can be exercised by the same method and procedure as the original collection.

9. Retention and Use Period

Your personal information is destroyed once the purpose of collection or of provision has been achieved. The following information is retained for the periods and reasons stated.

ⅰ) Retention under internal policy

— Where an application form has been completed: retained until withdrawal of the application or expiry of the agreement through a change of representative.

— Payment information: retained until payment is complete or the limitation period for the claim expires.

— Delivery information: retained until the goods or services have been delivered or provided.

— Information relating to a mandate for IP work: retained until a representative other than HOTWIDE or its affiliated patent and law firm has been appointed and HOTWIDE has been notified. (Except where retention is required by the Commercial Act or other legislation.)

ⅱ) Retention under applicable law

Where retention is required by legislation such as the Commercial Act or the Act on Consumer Protection in Electronic Commerce, HOTWIDE retains member information for the period prescribed. In that case the retained information is used only for the purpose of retention. The periods are as follows.

— Records relating to contracts or withdrawal of subscription: Act on Consumer Protection in Electronic Commerce, 5 years.

— Records relating to payment and supply of goods: Act on Consumer Protection in Electronic Commerce, 5 years.

— Records relating to consumer complaints or dispute resolution: Act on Consumer Protection in Electronic Commerce, 3 years.

— Records relating to identity verification: Act on Promotion of Information and Communications Network Utilisation and Information Protection, 6 months.

— Records relating to visits: Protection of Communications Secrets Act, 3 months.

10. Destruction Procedure and Method

ⅰ) Procedure

— Information entered by a user for the purposes of a business arrangement is stored for a certain period after the purpose has been achieved and is then destroyed.

— That personal information is not used for any purpose other than retention, except as required by law.

ⅱ) Method

— Personal information printed on paper is destroyed by shredding or incineration.

— Personal information stored in electronic file form is deleted using a technical method that renders the record unrecoverable.

11. Technical Measures

HOTWIDE takes the following technical measures to ensure that personal information is not lost, stolen, leaked, altered or damaged in the course of handling.

ⅰ) Your personal information is protected by a password, and important data is separately secured by encrypting files and transmitted data or by using file locking.

ⅱ) HOTWIDE uses antivirus software to prevent damage from computer viruses.

The antivirus software is updated periodically, and where a virus appears suddenly the definition is applied as soon as it is released, so as to prevent any infringement of personal information.

ⅲ) To prevent leakage of your personal information through hacking, HOTWIDE uses devices that block external intrusion, and installs an intrusion detection system on each server to monitor intrusion around the clock.

12. Outsourcing of Processing

HOTWIDE may outsource the processing of your personal information in order to improve its services.

ⅰ) Where processing is outsourced, HOTWIDE notifies you of that fact in advance.

ⅱ) Where processing is outsourced, HOTWIDE stipulates clearly in the outsourcing agreement the service provider's obligations to follow instructions on personal information protection, to maintain confidentiality, not to provide information to third parties, and to bear liability in the event of an incident, and retains that agreement in writing or electronically.

13. Comments and Complaints

HOTWIDE maintains a channel through which you may raise comments and complaints relating to personal information protection.

If you have a complaint about personal information, send it to the Privacy Officer or email mail@hotwide.com; we will act on it upon receipt and notify you of the outcome. You may also contact the Personal Information Infringement Report Centre operated by the government.

14. Privacy Officer

HOTWIDE designates a Privacy Officer responsible for receiving comments and handling complaints relating to personal information. The Privacy Officer is as follows.
